WEST KENT YMCA Job Description


1. Job Title Retail Manager - Social Enterprise

2. Accountability Directly accountable to the Chief Executive and ultimately to the Board of Directors

3. Job Purpose To develop West Kent YMCA Trading Ltd; increasing turnover and profit whilst improving non-financial social capital [community benefit to the charity and wider work]

Accountable for all trading company operations, meeting agreed sales targets, operating within budget, recruitment and development of staff, . Manage three warehouses and two vans.

To work as a member of the Senior Management Team of West Kent YMCA and contribute to the organisation’s strategic planning and policies.

4. Responsibilities

• Maximise income generation to support on-going work of West Kent YMCA.
• Maintain the highest standards of retail management, inventory control and collection and delivery service.
• Maintain and develop the customer base; donor/supporter base and referral agencies.
• Develop e-trading (freecycle / freagle, ebay, etraders, use of our website).
• Develop the marketing and promotion of the social enterprise.
• Develop and line manage staff in line with West Kent YMCA HR policies.
• Develop and line manage volunteers in line with West Kent YMCA HR policies.
• Maximise staff training
• Maximise work experience opportunities for West Kent YMCA clients and other referrals.
• Maximise other social enterprise opportunities.
• Ensure shops and vans are staffed Monday - Saturday excluding Bank Holidays.
• Develop new business through other projects, contacts in the South East area such as FRN, RSLs, YMCAs, etrading and any excess collection and delivery capacity.
• Manage the premises in accordance with leases, insurance and other policies [with advice from Resources Manager]
• Manage warehouse vehicles in accordance with insurance and other policies [with advice from Resources Manager]
• Provide regular financial reports, be responsible for income and expenditure and ensure that financial targets are met.
• Provide input to FD during annual budget setting.
• Ensure efficient administration and reporting relating to the social enterprise.
• Ensure regulatory demands such as Trading Standards, Health and Safety, Customs and Excise, TV Licensing and Appliance Testing are met, and that working policies and records are in place.
• Attend meetings as required as part of the Senior Management Team.
• Undertake additional fundraising duties to be agreed with the Chief Executive.
• Represent the social enterprise when required by the Chief Executive.
• Other duties as agreed with the Chief Executive.


5. Discretion to Act The post holder will have considerable freedom to develop and implement new ideas as agreed at regular meetings with the Chief Executive, Head Office staff or Trading Co Directors

They should keep the Chief Executive informed on all appropriate and relevant matters, and work within agreed budgetary parameters.

6. Environment The post holder is responsible for the Health and Safety of their staff, volunteers, work placement clients and customers.

7. Relationships The post holder is expected to develop and maintain effective relationships with staff, volunteers, customers and referring agencies eg Probation Service, Churches, Charities, Social Services seeking emergency furniture and/or work placements.

8. Training This includes the YMCA Induction scheme, health and safety, and relevant business/management training.

9. Location The post holder will work in all West Kent YMCA locations.

Person Specification

Essential:

• Retail Management experience
• Management of staff
• Marketing knowledge
• Window displaying/shop presentation experience
• Etrading (freecycle, ebay, etraders) experience/knowledge
• Administration for collection and delivery of furniture
• General administration tasks eg weekly return sheets, banking etc.
• IT Skills eg Microsoft Office (Outlook, Word, Excel)
• Knowledge of regulatory demands such as Trading Standards, Health and Safety, Customs and Excise
• Willingness to undergo training as required
• To be a Christian or to be supportive of the Christian ethos of the YMCA movement

Desirable:

• Delivery of training and development for YMCA clients, Volunteers
• First Aid trained
• Managing, encouraging and using volunteers
